Proposal Specialist

The Proposal Specialist will take direct responsibility for proposal development – from kickoff meetings and drafting text to managing reviews and final editing.

Key Responsibilities:

  • Analyze RFPs for proposal and text requirements and criteria for evaluation
  • Use RFPs to develop proposal outlines and requirements for production
  • Develop persuasive and accurate initial drafts for each proposal with compliant responses to each requirement (includes text and graphics)
  • Gather "appendix" materials as needed (research studies, technical reports, etc.)
  • Interview experts for solution text as needed
  • Write customized and boilerplate text
  • Edit text for voice, messaging, and adherence to internal style guide
  • Perform final electronic and hard copy edit of all proposal drafts and revisions
  • Maintain version control at each stage of proposal draft iteration
  • Format text for production
  • Report project status to management
  • Recommend process improvements
  • Peer review other writers' work as needed
  • Support team members as needed
  • Maintain and update library of standard proposal information (resumes, certificates, policies, etc.)
  • Complete additional writing and process improvement projects as assigned

Qualifications and Competencies:

  • Bachelor's degree preferred (English, Technical Communication, or Communications-related degrees preferred).
  • Knowledge of K-12 marketplace required
  • Previous experience writing K-12 proposals preferred
  • Writing experience in proposal writing, marketing writing, business writing, or technical writing preferred (two years or more)
  • Excellent verbal and written communication skills
  • Ability to collaborate effectively with all members of the project team and other colleagues
  • Ability to write and edit proposals or develop other projects with little supervision from a manager
  • Experience working with and interviewing technical and other staff to develop persuasive text
  • Acute attention to detail and a commitment to accuracy
  • Excellent time management skills with ability to set own priorities and escalate issues in a timely manner
  • Ability to multi-task in a fast-paced environment with fluctuating priorities
  • Must be able to work as needed to meet tight deadlines and at peak periods
  • Ability to perform independent research to understand proposal topics
  • Strong skills in MS Word and Adobe Acrobat required
  • Experience with graphics programs such as Paint Shop Pro or Adobe Illustrator preferred
